Position Title: COO
Organization: IGEA Brain, Spine, & Orthopedics PA
Location: Union, NJ
Description Our busy practice, with several locations in the NJ and NY area and a talented staff of neurosurgeons, orthopedic surgeon, neurologists, pain doctors, and neuropsychologist, seeks an exceptional, high-level individual to serve as Operations Manager.
This successful candidate is a genuine leader with outstanding communication and organizational skills who is comfortable working in a fast-paced environment to manage a team in a bustling practice. Responsibilities include discussing fees and financial arrangements with patients, managing and motivating staff, overseeing the surgical schedule, supporting the surgeon in administrative tasks and overall operations. A passion for patient care, a service-oriented mentality, and a drive for success are a must!
Responsibilities include, but are not limited to:
Office Operations
- Ensure the office runs smoothly and practice schedule is optimized
- Suggest improvements to practice flow and efficiency, through schedule, staffing, marketing
- Collect and present results of marketing programs (email campaigns, PR, web, and social media)
- Oversee maintenance of surgeon's hospital privileges, licensure, malpractice insurance, and CME
- Coordinate arrangements for surgeon to attend seminars, conferences, and meetings
- Oversee running of physical office, maintain facility and equipment
- Oversee IT team, and ensure all systems are running efficiently with appropriate reoccurring backups
- Oversee and manage special tasks and projects
- Back up to patient coordinator, providing financial quotes to patients when needed
Personnel
- Oversee all staffing: identify needs, source talent, screen applicants, assist in hiring process
- Train, manage and motive all new and existing staff
- Maintain detailed personnel files (full time, part-time, per diem, and contractors)
- Maintain vacation, sick and PTO
- Fill in for staff as needed
- Schedule quarterly and annual reviews with all staff
Marketing
- Assist with Website / PR / Social Media updates, strategy, implementation
- Work with vendors to develop strategic programs and stories for PR, social media, and other platforms
- Implement practice enhancement programs; track revenue
- Manage relationships with key marketing contacts
- Conduct competitive analysis (in coordination with PCC)
- Meet with surgeon and administrative team monthly to discuss results of marketing programs
Other Requirements
- Ability to become facile with a fully computerized patient record (EMR) system
